Manufacturing Inspection Administration Cost Calculator

How much does administering your inspection records actually cost each month? Use this free calculator to estimate the labor cost of re-keying records, searching for paperwork, and handling corrections — separate from the inspection work itself.

Your Numbers

Total inspections your team completes in a typical month.

min

Time spent transcribing or organizing paper/spreadsheet data per inspection.

How the calculation works

This calculator adds up three sources of inspection administrative time: re-keying or organizing each record, searching for records already completed, and correcting records that come back incomplete or wrong.

Correction minutes per inspection = correction rate × minutes per correction. Monthly administrative hours = inspections per month × (re-keying + searching + correction minutes) ÷ 60. Monthly administration cost = monthly administrative hours × your fully loaded hourly rate.

Actual inspection time is not included — performing the inspection itself is real, necessary work, not administrative waste.

Realistic example

A plant running 400 inspections a month, with 4 minutes of re-keying and 3 minutes of searching per inspection, and 15% of records needing a 20-minute correction, at a $35/hour fully loaded labor rate, works out to roughly 67 hours of inspection administration every month — about $2,333/month, or $28,000/year — before a single inspection has actually been performed.
